Once a year, I move people from active into past clients. Those who haven't responded for some time or where there is invalid information are deleted. The same for prospects and other contacts.

when someone asks me to remove them from my list. :) That only happens about 10 times a year and it generally is when someone considered my lake but in the end decided on another area to move to.

For my emails, I check on it once a month and delete those that are invalid. Mnay of these are realtors though, so I'll look them up and can often find their new brokerage and then I update their email.

Immediately if the email isn't valid and I can't fix it. My CRM notifies me if someone opts out of automatic system emails and I move them to a quarterly category for seasonal emails (holiday greetings, etc.). I don't delete contacts unless their email is invalid.

The only time I will "prune" someone is if I don't have any valid contact info or it is a name/email that you know is fake like "Fred Flinstone". If a "Fred Flinstone" comes in I will email them since it may be a serious lead that just did not want to give the name yet.
If I have a valid contact form I'll keep them on the drip email lists, takes no work and you never know when someone you have not heard from in years needs to move.

I used to do this every 6 months but haven't done it for over a year now. Thanks for the reminder Praful.
